eBay Store Management
eBay Store Management for Sellers Who Are Tired of Guessing at Best Match
Listing management, item specifics, Promoted Listings, pricing strategy and seller performance — run as one managed channel by a team that reads the Cassini signals rather than folklore.
- Item specifics completed properly, because they are the ranking input most sellers ignore
- Promoted Listings Standard and Advanced run separately, with different jobs
- Top Rated Seller status protected as a visibility asset, not treated as a badge

The Problem
eBay seller challenges we solve
eBay rewards listing completeness, competitive pricing and seller performance more than it rewards clever copy. Most struggling accounts are losing on one of those three.
Incomplete item specifics
Recommended and required specifics left blank, which caps Best Match placement and removes the listing from every filtered search.
Promoted Listings on autopilot
A flat ad rate applied across the whole catalog because it was suggested once, costing a percentage of every sale that would have happened anyway.
Pricing that ignores the market
Prices set on cost-plus with no view of what comparable sold listings actually achieved in the last ninety days.
Seller status slipping
Late dispatch, tracking uploaded after the deadline and defect rate creeping up, quietly costing the Top Rated discount and the placement boost.
Duplicate and competing listings
The same item listed four times by four people over four years, splitting sales history and cannibalising its own placement.
Weak listing presentation
One photo, a wall of unformatted description text and no mobile-friendly layout, in a category where everyone else has twelve images.
Stale Good Til Cancelled listings
GTC listings running for years with no refresh, no price movement and no sell-through, dragging the whole account average down.
Store subscription mismatch
Paying for a store tier that does not match listing volume, or missing the free-listing allowance that would pay for itself.
International demand left on the table
Buyers in other markets who can see the listing and cannot buy it, because shipping and programme settings were never configured.
No view of true profitability
Final value fees, promoted ad rates, shipping subsidy and returns living outside the reporting, so margin per listing is unknown.
Watchers who never convert
Hundreds of watchers and no offer strategy, no Best Offer configuration and no markdown plan to convert them.
Treated as a legacy channel
One person listing when they have time, so the account drifts and each month costs slightly more attention to recover.
What We Do
Our eBay services
Eight services covering the whole store. On eBay, listing completeness and seller performance gate everything else, so that is where the work starts.
01
Seller Hub operations, business policies, store configuration and the weekly rhythm that keeps the channel healthy.
02
Listing & Catalog Management
Bulk listing, item specifics, multi-variation listings and catalog hygiene at scale.
03
Keyword and item-specific research built around Best Match rather than around web search habits.
04
Standard and Advanced run as separate tools with separate jobs, measured on incremental sales.
05
Photography, gallery sequence, mobile-first descriptions and store branding.
06
Pricing, offers, watchers and the presentation levers that move eBay conversion rate.
07
Seller Performance Management
Dispatch, tracking, defect and return metrics managed to protect Top Rated status.
08
Terapeak research, sell-through analysis, profitability modelling and scaling decisions.
Running Amazon or Walmart too? Most of our clients do. See Amazon, Walmart, or all platforms we support.
Operations
Marketplace account & store management
The weekly operational work. On eBay much of it is listing maintenance, which is exactly the work that gets deferred first and costs most.
- Seller Hub account management — users, business policies and settings
- Listing creation, revision and bulk edits across the catalog
- Pricing, Best Offer rules, markdown manager and promotional pricing
- eBay Store configuration — categories, tier, branding and store pages
- Operational monitoring — ended listings, out-of-stock control, duplicate items
- Inventory coordination across eBay and your other sales channels
- Marketplace compliance — category, condition and prohibited-item requirements
- Performance reporting on sales, sell-through, ad rate and seller metrics
- Ongoing optimization queued weekly and prioritised by likely revenue impact
Same operating model as our eCommerce management service, applied to eBay Seller Hub.
Catalog
Listing management & catalog optimization
On eBay this is the whole game. Item specifics are a ranking input, a filter input and a buyer-confidence input at the same time, and most catalogs are half empty.
Research
- Terapeak sold-listing research by category
- Competitor listing and price-position analysis
- Category and item-specific requirement mapping
Listing Content
- Titles built for Best Match within the character limit
- Item specifics completed to required and recommended level
- Mobile-first descriptions without legacy HTML templates
- Condition descriptions that reduce returns
Catalog
- Store categories and listing organization
- Multi-variation listings assembled and repaired
- Duplicate listing consolidation with history preserved
- Bulk listing tools, feeds and inventory sync
Optimization
- Sell-through rate tracked listing by listing
- Impression and click-through analysis from Seller Hub
- Conversion rate by listing and traffic source
- Refresh cycles on stale Good Til Cancelled listings
On the last four eBay accounts we took on, average item-specific completion was under 55%. Getting that to 95% is usually the single biggest visibility gain available.
Organic
eBay SEO & organic visibility
Best Match weighs relevance, listing quality, price competitiveness, sell-through history and seller performance. Optimising only the title addresses one of five.
- Keyword research from eBay search behaviour and Terapeak data
- Title optimization within the character limit and against buyer search language
- Item specifics completion, which drives both relevance and filtered search
- Category and store-category placement
- Listing quality — images, description structure and mobile rendering
- Sell-through and pricing signals, which Best Match treats as relevance evidence
- Organic ranking analysis by keyword and listing over time
- Competitor visibility and price-position tracking
- Ongoing optimization cycles rather than a one-off listing rewrite
Marketplace search and web search are different disciplines. Our web methodology is on the eCommerce SEO page.
Paid
Promoted Listings & paid growth
Standard and Advanced are different tools solving different problems. Running both at a default rate across the whole catalog is the most common way to donate margin.
- Promoted Listings Standard — ad rate set by listing, not by account default
- Promoted Listings Advanced — cost-per-click campaigns on keywords worth buying
- Ad rate strategy by margin band, sell-through and competitive position
- Campaign structure built so performance is readable by listing and category
- Keyword targeting and negative keyword discipline on Advanced campaigns
- Budget management across campaigns, listings and seasonality
- Incrementality thinking — not paying a percentage on sales that would happen anyway
- Offsite Ads and eBay-managed placements where they are available and worthwhile
- Advertising performance measured against total channel contribution
Our wider paid media methodology sits on the PPC & paid advertising page.

Conversion
Conversion & marketplace performance optimization
You do not control checkout, so optimization means everything upstream. On eBay, price position and offer strategy sit inside conversion rather than beside it.
Visibility
Listing
Watchers & engagement
Purchase
Positioning
- Price position against comparable sold listings
- Titles and specifics aligned to buying intent
- Auction, fixed price and Best Offer format choice
Presentation
- Gallery sequence and thumbnail legibility
- Mobile description structure and scroll depth
- Shipping cost, speed and returns presentation
Engagement
- Watcher conversion — offers to watchers and markdown timing
- Best Offer auto-accept and auto-decline thresholds
- Message response time and pre-sale question handling
Alignment
- Promoted Listings alignment with margin and sell-through
- Listing refresh cycles on stale GTC items
- Conversion rate tracked by listing and traffic source
Watchers are the most under-used signal on eBay. An offer-to-watcher programme with sensible thresholds routinely converts stock that has been sitting for months.
Health
Marketplace operations & seller performance
The monitoring layer. On eBay, seller performance affects both placement and fees, so this is commercial work rather than administrative work.
- Seller level monitoring — Top Rated, Above Standard and Below Standard risk
- Dispatch time, tracking upload deadlines and late delivery rate
- Transaction defect rate and cases closed without seller resolution
- Return rate, return reasons and the listing changes that reduce them
- Listing status — ended, out-of-stock, blocked and duplicate items
- Inventory and availability monitoring across channels
- Pricing monitoring including price position and competitor movement
- Policy and compliance awareness across category and condition requirements
- Operational reporting with an exception list rather than a data dump
How It Works
Our eBay growth process
Six steps. The audit covers the whole channel, because on eBay the constraint is frequently seller performance or item specifics rather than anything a marketer looks at first.
01
Audit
Account, store, listings, item specifics, pricing, Promoted Listings, content and seller performance reviewed together. You keep the document either way.
02
Research
Terapeak sold-listing research, competitor and price-position analysis, plus a profitability model with final value fees, ad rates and shipping in it.
03
Build the Strategy
A twelve-month plan with a detailed first ninety days, named owners, target metrics and the sequence work will run in.
04
Optimize & Implement
Item specifics, listing quality and pricing first, so promoted spend lands on listings that can actually rank and convert.
05
Advertise & Grow
Promoted Listings restructure by margin band, Advanced campaigns on keywords worth buying, reviewed weekly.
06
Monitor & Scale
Seller performance and sell-through monitoring, then scaling into what proved out — more listings, international, or more marketplaces.
Raising the promoted ad rate on a listing with incomplete item specifics is the most common expensive mistake on eBay. Fix the free lever first.

Why Us
Why choose us for eBay
Eight reasons you can check rather than take on trust. Ask us for evidence on any of them.
Marketplace-Focused Expertise
eBay behaves differently from Amazon and we do not run an Amazon playbook against it and hope.
Management + Marketing Under One Team
Listings, pricing, content and Promoted Listings in one place, so the fix and the campaign change land in the same week.
We Do the Unglamorous Work
Item specifics completion across thousands of listings is dull and it is usually the highest-return work available.
Data-Driven Optimization
Terapeak sold data, Seller Hub impressions and listing-level conversion drive decisions rather than category folklore.
Ad Rate Discipline
We treat Promoted Listings as an incremental-sales question rather than a visibility subscription.
Seller Performance Protected
Top Rated status is managed as a commercial asset, because it affects both placement and the fee you pay.
Transparent Reporting
Contribution after final value fees, ad rates, shipping subsidy and returns — less flattering, more useful.
Multi-Marketplace Capability
eBay alongside Amazon, Walmart, Etsy and the regional marketplaces, on one catalog strategy and one forecast.

Do item specifics really affect ranking that much?
Yes, and more than most sellers expect. They feed Best Match relevance directly, they determine whether your listing appears in filtered search at all, and buyers use the filters heavily in categories with any technical dimension. On the last four accounts we took on, average completion was under 55%. Getting it to 95% is normally the largest free visibility gain available.
What is the difference between Promoted Listings Standard and Advanced?
Standard charges a percentage of the sale price when a buyer clicks your promoted listing and then buys it. Advanced is cost-per-click on keywords you choose. They solve different problems: Standard buys placement broadly, Advanced buys specific search terms. Running both at defaults across the whole catalog is how sellers end up paying a percentage on sales they would have made anyway.
Should we run auctions or fixed price?
Mostly fixed price with Best Offer for anything with margin flexibility. Auctions still earn their place for genuinely scarce, collectible or hard-to-value stock where price discovery is the point. For repeatable inventory, auctions add volatility without adding much.
How do we get Top Rated Seller back?
Dispatch on time with tracking uploaded before the deadline, keep defect rate and cases-closed-without-resolution below threshold, and reduce returns at source. It is operational work, not marketing work, and it usually recovers within one or two evaluation cycles once the process is fixed. It is worth doing because it affects both placement and the fee you pay.
Can you consolidate our duplicate listings?
Yes, carefully. Duplicates split sales history, which Best Match uses as relevance evidence, so consolidating them badly can cost you more than leaving them. We identify which listing carries the useful history, migrate the rest into it or into a variation listing, and redirect the demand rather than just ending the extras.
Is an eBay Store subscription worth it?
It depends on listing volume and category fee structure. The free-listing allowance and reduced final value fees pay for the subscription at fairly modest volumes, and the store pages and branding help. We model your actual volume against the tiers rather than defaulting to the biggest one.
Can you manage eBay alongside Amazon and Walmart?
Yes, and most of our clients run at least two. One catalog strategy, one forecast, one team, with the channel differences respected rather than flattened. See all platforms we support.
Who owns the eBay account?
You do, always. We work under our own user permissions inside your account. If the relationship ends, we remove our access and everything — listings, templates, campaigns, documentation — stays with you.
Find out what your eBay store is leaving on the table
Book an eBay audit. We will review listings, item specifics, pricing, Promoted Listings, content and seller performance, and tell you which two things to fix first — whether or not you hire us.
